We pick up your photos, scan them carefully, and return everything to you. We charge per job, invoice on completion, and cap our liability at what you paid. All clients sign a separate Photo Handling & Release Agreement before we accept any materials.
Scan Squirrel is a hyper-local photo digitization service based in Eagle Rock, Los Angeles. We pick up your original photographs, scan them at 600 DPI, apply optional AI enhancement, and return everything to you — originals included — along with your complete digital archive.
We are a consumer digitization service. We are not an archival conservator, museum-grade preservationist, or long-term storage provider.
All pricing is provided in a written quote before any work begins. Quotes are estimates — final invoices reflect the actual scope confirmed during scanning, with an approximate variance of ±15% depending on final photo counts and material conditions.
Quotes are valid for 30 days. Volume discounts and promotional pricing apply only when explicitly stated in the quote. Billing is per job, invoiced upon completion — not upfront.
Payment is due upon delivery of your digitized files and return of your originals. We accept cash, check, Zelle, Venmo, and major credit and debit cards.
A $45 fee applies to returned checks. Scan Squirrel is not responsible for overdraft or overlimit fees resulting from payment processing. If you file a payment dispute (chargeback) with your financial institution and we prevail, the chargeback fee plus a handling fee will be charged back to you.
Before we accept any materials, every client must sign a Photo Handling & Release Agreement. That document governs the specific terms of handling, liability, damage risk, missing-photo claims, AI enhancement, confidentiality, and dispute resolution for your job — and is incorporated by reference into these Terms.
Among other things, the Release establishes that Scan Squirrel's total liability is capped at the fees paid for the affected job, and that a refund of those fees is your sole remedy.
Your originals come back to you in archival Clear Cases (lettered A–R, roughly 100 photos each), or per the arrangement confirmed in your quote. We strongly recommend the optional fireproof Black Box for long-term storage of returned originals.
After we notify you that your job is complete, we'll hold your originals at no charge for 21 days. After that, a storage fee of $5.00 per day applies. Materials unclaimed after 60 days may be disposed of, and digitized files will be retained for an additional 90 days. Scan Squirrel is not liable for loss following disposal after proper notice.
If you'd like us to dispose of your originals after reviewing your digital archive, written authorization is required. A disposal fee applies per the terms in your quote.
AI enhancement is optional. When selected, it may alter the appearance of images — including color, contrast, saturation, and facial features — using interpretive machine-learning tools. Original unmodified scans are always preserved and delivered alongside any enhanced versions.
Scan Squirrel does not guarantee that AI-enhanced images will meet any particular standard of appearance, and cannot reverse AI processing once a job is complete.
By submitting photographs, you represent that you own or have lawful authority over everything submitted, that the materials don't infringe any copyright or privacy right, and that they don't contain obscene or illegal content.
Scan Squirrel reserves the right to decline scanning any material we consider excessively fragile, unsafe, or legally problematic — with no charge applied to refused items.
Photographs are protected by U.S. copyright law. Scan Squirrel claims no rights to your images and will not reproduce, publish, or share them without your written consent.
We treat your photographs and personal information as confidential. We won't display, sell, share, or use your images for marketing or any other purpose without your prior written consent. We retain your images only as long as needed to complete your job and any agreed delivery period.
Scan Squirrel complies with the California Consumer Privacy Act (CCPA). California residents have the right to know what personal information we collect, request deletion, and opt out of any sale of personal data. We do not sell personal data. Our Squirrels are professionals, and we ask that all parties treat each other with basic respect. Threatening, demeaning, obscene, or discriminatory behavior directed at any Scan Squirrel representative is grounds for immediate termination of service. If service is terminated due to client conduct, any fees accrued to that point remain due.
Scan Squirrel commits in return to professional conduct, transparent communication, and honest work on every job.
Services are provided on an "as-is" and "as-available" basis. Scan Squirrel makes no warranty that services will be error-free or meet any standard beyond what's described in these Terms and your signed service agreements. No statement by any Scan Squirrel representative — oral or written — creates a warranty beyond what is expressly set forth here.
To the maximum extent permitted by California law, Scan Squirrel's total liability for any claim is limited to the fees you paid for the affected job. We are not liable for indirect, consequential, punitive, or special damages — including sentimental value, emotional distress, or replacement cost.
This limitation does not apply to gross negligence or willful misconduct where such limitation is unenforceable under California law.
If something goes wrong, email us first. Most issues are resolved quickly. If we can't resolve a dispute informally, it will go to binding arbitration in Los Angeles County under California law and JAMS Streamlined Arbitration Rules. You waive the right to a jury trial and to participate in any class action.
Any claim must be filed within one year of the event that caused it. Either party may seek injunctive relief in court to protect confidential or intellectual property rights.
These Terms are governed by the laws of the State of California, without regard to conflict-of-law provisions. Venue for any matter not subject to arbitration is Los Angeles County, California.
We may update these Terms from time to time. Changes will be posted at scansquirrel.com/terms with an updated effective date. The Terms in effect when your service agreement is signed govern that job.
These Terms, together with your signed Photo Handling & Release Agreement and any written quote or order form, constitute the entire agreement between you and Scan Squirrel. If any provision is found unenforceable, the remainder continues in full effect.
